Event Host Planning Tool

The Planning Tool is a spreadsheet you fill in, and it is a download. Make your own copy and work in that. Reading it here would tell you nothing, because the value is in the numbers you put into it.

What is in the workbook

  • Event Budget. Works out what your event will take in against what it will cost. Registration income is modelled per programme and per event level, so you can see the difference between hosting a Qualifying Event and a Championship, and between running one Missions programme and all of them. Concessions and other income have their own lines, and the sheet totals income, expenses and profit as you go.
  • Event Checklist. Around ninety tasks in order, from “contact TEAM Alliance to inquire about hosting” through venue, insurance, parking, volunteers and equipment, and on past the event itself. Each row has an Assigned To and a Notes column, so this is the sheet that turns hosting from one person’s worry into a team’s job list.
  • Event Agendas. The original agenda calculator, working out the length of a day from team counts, mission counts, cycle times and field counts.
  • Event Layouts. A pointer to the layouts document rather than content of its own.

Use the Agenda Builder instead of the agendas sheet

The workbook says so itself. The Event Agenda Builder does the same arithmetic in a web page: choose the competition, the number of teams, the fields and the start time, and it lays out the whole day with times against it, then gives you the agenda as text to paste onto your event page. The spreadsheet sheet is kept for anyone who prefers working in the workbook.
